Wait times frequently exceeded 40 minutes, leading to crowded waiting rooms, transcription errors in medication allergies, and high patient dissatisfaction scores.

Target Clinical Goals

• 1. Pre-Visit Mobile Check-In Allowing patients to complete intake questionnaires, upload insurance cards, and sign consent forms on their smartphones prior to arrival.
• 2. EHR Interoperability via SMART on FHIR Syncing patient answers and clinical notes directly into the hospital's central electronic health record without duplicate manual entry.
• 3. Strict HIPAA Compliance Architecture Dedicated isolated tenant VPC, audit logging of every record view, and automatic session expirations.

Architecture & Security Design

Decodrz developed a responsive web portal built with clean HTML5/Bootstrap 5.3 on the frontend and Python FastAPI on the backend. The system connects to a HIPAA-hardened PostgreSQL database with transparent data encryption (TDE) and automated daily backup routines.

Clinicians access a real-time queue management console displaying arriving patients, exam room allocations, and verified insurance statuses. Automated SMS reminders sent 24 hours in advance reduced missed appointments from 18% to under 6%.
